Moving and surplus property pick up
VCU General Services offers moving services to assist VCU departments with relocating from one VCU location to another as well as surplus property pick up for items (e.g., office furniture, computers and laboratory equipment) that a school or department no longer needs.
Request service
VCU employees can request moving and/or surplus property pick up services by:
- Submitting a request via the Facilities Self Service and
- Completing the Surplus Property and Move Request Form [PDF] and emailing it to the contacts listed in the form.
VCU General Services staff will be in touch within 72 business hours to discuss next steps.
Regulated materials
Principal investigators must make sure that employees are trained in the proper disposal of materials as defined in the VCU/MCVH/MCVP Safety Manual. VCU General Services cannot accept items containing or contaminated with biological, chemical or radioactive materials.
The individual responsible for a department’s potentially hazardous items or equipment must contact VCU Occupational Health and Safety (OHS) to schedule an equipment clearance. General Services will not pick up surplus items or move items without documentation from OHS. General Services will report any violation to OHS, and the transferring department be billed for all cleanup services.
Hard drive data removal certification
Prior to transferring computers to General Services, departments must remove all hard drive data either by wiping the drive with approved software or destroying the hard drive.
Fluid removal
If items contain fluids (Freon, oil, lubricants, etc.), please submit a surplus request via the Facilities Self Service. The Surplus Manager will then schedule a time to tag the surplus property and remove it with the fluid intact. Our contractor will then remove the fluids at our warehouse and charge accordingly for each work order after the fluids are removed.

Weekend service is available but requires a minimum of four hours of service.

GovDeals
GovDeals is a program, managed by the Commonwealth of Virginia, Department of General Services, that helps government agencies manage the sale of their surplus inventory, which also helps keep usable items out of landfills. Agencies, such as VCU, can use the GovDeals online auction platform to surplus their items and generate higher net returns by delivering true market values. Items sold on GovDeals include, but are not limited to, technology, laboratory equipment, furniture and more. At VCU, the GovDeals program is overseen by General Services.
How it works
VCU departments that have unneeded VCU surplus property can work with General Services to surplus items via the GovDeals program.
- Submit a work request via the Facilities Self Service. In the “problem type” field, select "surplus laboratory equipment, furniture or materials" or "surplus non-laboratory, furniture or materials," as appropriate.
- VCU Facilities Management will be in touch to schedule a time to inspect the item to make sure it qualifies for GovDeals.
- If the item qualifies for GovDeals, it will be taken to the Facilities Management warehouse to be posted on the GovDeals website for auction.
- If an item is purchased for $2,500 to $9,999, the VCU department that surplused the item will receive 20% of the sale price. If an item is purchased for $10,000 or more, the VCU department that surplused the item will receive 50% of the sale price.

Reuse program
VCU General Services oversees the reuse program for VCU schools and departments to donate and acquire gently-used items (e.g., furniture, computers and laboratory equipment).
Schools and departments in need of items can schedule an appointment to view available items by contacting Peter Jordan, materials management supervisor, at (804) 245-2711 or pjordan3@vcu.edu.
Special event setup and rentals
VCU General Services offers special event setup and rentals to include tables and chairs. VCU faculty and staff can request special events services via the Facilities Self Services.

Customers are responsible for ensuring that all rented tables and chairs are returned in their original condition. If any items are missing, the customer will be charged for the cost to replace the item. If the rented items are not ready to be picked up by the predetermined date, the customer will be charged a $30.00 late fee.
Request service
The individual who submits the request or an alternative point of contact included in the service request must be present for the work to be completed. The customer will receive an email confirmation once they submit the request. VCU Facilities Operations staff will call the customer at the number they provided shortly before the time they chose for the work to be completed. Please allow up to 72 hours for the work to be completed.

Billing and rates
General Services charges $62.50 per man hour required for the service. This includes the time it takes to perform the service at the customer’s location and at the Facilities Operations warehouse location. For example, if two employees worked for 30 minutes picking up surplus property at the customer’s location and then 30 minutes unloading the property at the Facilities Operations warehouse, the customer would be charged $114.

Monday through Friday from 7:30 a.m. to 4 p.m.
